Workforce Census 2016 – 3rd November

The staff workforce census is due to be run on the 3rd November.

Your server is on fileset 403 or higher which is the minimum required, however please ensure you check for the latest fileset version in the essential reading section of our website (www.simscrowd.net) before you submit your final census version.

Notes on census Summary Report Table 11&20

Summary Report – Table 11

Please note that the final version of the autumn XSLT school summary Table 11 counts any pupil aged 4 (as at 31 August) regardless of their NC year group. Pupils aged 4 in Reception where the funded hours tag is not present will be counted under the number of pupils with ‘zero hours’. Table 11 should only count pupils aged 4 if they are in NC year group E1, E2, N1 or N2.

This will be recorded as a known issue and schools and local authorities will be notified in the final readiness email.

Summary Report – Table 20

Please note that the final version of the autumn XSLT school summary Table 20 includes special schools; this is incorrect as Table 20 is for schools who return termly attendance. Table 22, which still generates correctly, is the valid table for schools with a Phase SP.

This will be recorded as a known issue and schools and local authorities will be notified in the final readiness email.

Special Schools – Errors 2500 and 2510

Special Schools – Errors 2500 and 2510

Please note all schools with a phase of SP (special school) will trigger Error 2500 (for on roll pupils) and Error 2510 (for leavers) in the final version of the autumn XSLT validation. These error should only apply for termly attendance data. As special schools are only required to return annual attendance data in the autumn 2016 school census, these error can be ignored in special schools MIS. Once the return has been uploaded onto COLLECT these errors will disappear. Please note Error 2611 which triggers if annual attendance data is missing for relevant pupils has been implemented correctly.

Country of Birth Errors for SVK (Slovakia)

Country of Birth and Nationality – Errors 3050, 3055, 3060, 3065, 3070 and 3075

Please note that SVK (Slovakia) has not been taken into account for the final version of the autumn XSLT validation. As SVK is as a valid country and nationality for the autumn 2016 schools Census, these validation failures can be ignored where SVK has been assigned to a pupil. Once the return has been uploaded onto COLLECT these error will disappear.

Bulk update of Country of birth

We have received numerous calls regarding errors in census caused by missing country of birth. We understand that you may not have  received your data collection sheets back from parents yet and therefore we are ensuring that all supported schools are aware of the bulk update tool which allows you to set “not yet obtained” for the country of birth field and therefore remove the census error.

Please note: We strongly advise that if this process is followed, you must ensure that the correct information is entered once received from the parents.

Changes since 2014 workforce.

  1. The ethnicity codes for ‘Gypsy/Roma’ are now available for use for staff, …
  2. Date of last pay review has been added, …
  3. ‘Pay Scale’ and ‘Regional Spine’ have become ‘Pay Range’ and ‘Regional Pay Range’, …
  4. Spine Point has been removed from the collection. There is no replacement.
  5. Start and end dates of TLR3 payments will be required. These will be known as Additional Payment Start Date and Additional Payment End Date. …
  6. Pay review date required for both contracts and service agreements.
  7. TLE replaces TLR1 & TLR2, TL3 & PPS new.

Zero hour contracts causing 4530 error

Several schools have encountered issues when using casual contract types (i.e. cover supervisors) with no hours     specified which has resulted in error 4530 Base Pay invalid….Format must be 9999999.99.

A number of hours are required to be input – please contact your LCC HR contact to confirm details if unsure.

 

Please note:

The Leadership pay panels, referred to in the Capita “producing the workforce census” are not visible, in some schools, as they have been hidden by LCC HR in SIMS however any errors will still be reported in the normal way when validating your census.

School Census Academic year 2015/2016 Validation Errors and Resolutions

PLEASE NOTE THE CURRENT FILESET 205 (CLICK TO DOWNLOAD) WILL SORT THE KNOWN ERRORS LISTED BELOW:

  • The DfE have changed the message for validation rule 2709 to “Learning aims would normally be expected for a pupil who were on roll in Year 12 and above and left since the last autumn census”.
  • The DfE has modified the logic for validation rules: 2695Q, 2040, 3025Q, 3035Q, 2520Q and 2709Q
  • The DfE has removed validation rule 2711Q
  • The DfE have changed the version information in the header of the Summary Report from “?? ???? 2015” to “2 September 2015”.
