How should [DfE] schools record attendance?

The following answer to this question was supplied to us by the DfE via email on 02/03/2020.  We have provided this DfE response in this newsfeed for your convenience.  Although the approach described seems very fair to me, if you have any issues with this, please direct them at the DfE.

Where a pupil cannot attend school due to illness, as normally would happen, the pupil should be recorded as absent in the attendance register and the school will authorise the absence. Code I (Illness) should be used in this instance.

Where a pupil is in self-isolation, in accordance with latest information and advice from Department of Health and Social Care and Public Health England, the pupil should be recorded as unable to attend due to exceptional circumstances in the attendance register. Code Y (Unable to attend due to exceptional circumstances) should be used in this instance.

WARNING: IF THE EXCEPTIONAL CIRCUMSTANCE HAS BEEN ENTERED AFTER THE SCHOOL HAVE USED CODE: I THE Y CODE IS UNABLE TO OVERWRITE THIS. SCHOOLS WILL NEED TO REMOVE ALL I CODES FOR SELF ISOLATION AND REAPPLY THE EXCEPTIONAL CIRCUMSTANCE.

Exception Circumstance (SIMS):

Focus | Attendance | Exceptional Circumstances

  1. Click the “new” button
  2. Enter the dates to apply the attendance mark on
  3. Select group type at the top right to select which group you want to apply the mark to ( i.e. individual student, year group, whole school)
  4. Select the relevant attendance code from the drop-down box
  5. Enter a description for the exceptional circumstance (i.e. self-isolation)
